Before you begin:


This article will guide you through how to add previously accumulated / legacy hours and skills of your contacts, prior to your use of bantu Workspace. 

You can use the import feature to add the past contributions of your contacts. 


Things to take note:


Hours:

  • Hours can be imported into a Project
  • Hours cannot be imported into the Account, as the hours need to be linked to specific project


Skills:

  • Skills cannot be imported into a Project or into the Account
  • Workspace only populates the set of skills that you require from the roles that you’ve created via a Project –– making the skills verified through their participation




Instructions:

Section 1 - Importing Past Hours


Note: This set of instructions is applicable to users who already have contact data in bantu Workspace. Users who do not have any data yet can skip to Step 3.


1. Download a copy of your contacts and their information



2. Transfer past / legacy data to the spreadsheet

  • Find the 'hours_served' field in the Excel File
  • Clear all data in that column
  • Add the number of hours that contacts has been involved with your Organisation, prior to your use of bantu Workspace
  • Delete any rows of contacts that you do not wish to update



3. Create a pseudo past project

On your bantu Workspace Dashboard, click 'Create new project

Once done, click 'Finish'


Tip: You can name your project with an easily recognisable name:

  • Referring to your legacy projects as a whole e.g. 'Past Projects with ABC Community'
  • Referring to the specific project that was created in the past e.g. 'Wellness Workshop'


4. Click 'Manage Project' on that project on the Dashboard


5. Click 'Import'


Note: Contacts will see these pseudo past projects on their Community Portal profiles


Section 2 - Importing Past Skills


Note

  • This is a workaround solution to be able to manually add skills to a contact
  • We do not recommend doing this as this creates a new column of 'unverified skills' to each contact
  • This should be a one-off procedure

1. On your bantu Workspace Dashboard, click on the 'Manage My Organisation' tab


2. Create a new Custom Field, with the field type 'Textbox'

  • This field will be used to contain your contacts' previous skill sets 
  • E.g. 'Photography, Speak Hokkien, Graphic Design'


Tip: Name the Custom Field something easily understandable such as 'History of Skills'



4. Import contacts' past skills

  • The new Custom Field you created will be automatically added in the Sample Import Template as the rightmost column
  • As this is a Custom Field, you can import this field into either your Organisation, your Account or into a specific project
