The feature 'Digital Participation Records' on Workspace helps you to download a compiled report on your Contact's profile and his or her contributions to your organisation.


Before you begin:


Things to take note:

  • This feature only includes data from Timeslots that were attended.
  • All Projects, Roles, and Hours data automatically do not include Timeslots that were not attended (i.e. no attendance marked). 
  • This PDF document can be multiple pages – depending on the contribution of the individual i.e. the more the contribution the more number of pages the document has


Instructions:

  1. View the Profile of a Contact
  2. Click 'Download Profile'
  3. An export of the Digital Participation Records in PDF format will automatically start


Sample File of how a downloaded Participation Record looks like:


First Section: Basic Profile Information


  • Your Organisation Name, Contact Email and Contact Number is reflected here
  • Contact's Full Name (First name + Last name)


Second Section: Quick Statistics

  • Total Completed Hours: This is the total number of hours that the individual contributed to your organisation's activities and projects 
  • Total Completed Projects: This is total number of projects that the individual was involved in your organisation across time
  • Total Roles: This is total number of roles that the individual took on in your organisation across time 
  • Date of Export: This is the date that this document was exported on – this helps to increase the document's validity and relevancy as the more updated it is the better for verification


Third Section: Contribution Records

For each Project, a new sub section is created with the following data points:

  • Role
  • Project Name
  • Location of Project
  • Number of Hours contributed
  • Date and Time of Timeslot(s) that were attended


This section is duplicated depending on the number of Projects that the individual was involved in


Fourth Section: Endorsement

  • Organiser Name: The Main Organiser's Full Name will be reflected
  • Organisation Name
