This feature works for:
Account: All accounts
Plan subscribed: All plans
Before you begin:
Things to take note:
- Skills cannot be imported
- For importing Custom Fields data, Custom Fields need to be first created in your Organisation's database BEFORE you proceed with the import
There are two types of import:
1. Importing contact data into your Account
- Hours cannot be imported directly into your Account database
- To import hours: This can only be done through importing contacts into the Project
2. Importing contact data into a Project
- Importing your member, participant, or volunteer data directly into your project is useful when you already have existing participants in an ongoing project
- Make sure you have already created the project in bantu Workspace before proceeding
Instructions:
1. On your bantu Workspace Dashboard, click on 'Manage My Account' tab
2. In 'All My Members', click on 'Import'
- File formats accepted: Excel (.xls, .xlsx) and CSV (.csv)
- You will see the following popup:
Tip: Make sure you download the Sample Template provided, which contains detailed guides for each field.
3. Review the Import Report of the uploaded file of each row displayed
- This page will show you the activity for the import process performed. By looking at this information, you can see if your contacts are imported properly.
4. Click 'Confirm Upload'
5. The import upload will now begin
How to use the Sample Template:
1. Open the downloaded Sample Template
- You can find the link to download the .xlsx template by clicking on the 'Import' button
2. Open the Sample Template
- You can view the defined and customised fields in inputting your contacts' information
⚠️ Important: You can remove columns, but do not change the text of the existing headers.
⚠️ Important: When importing contacts into Account, the Hours column will not be uploaded.
3. You will see Custom Fields at the rightmost columns of the file
- If you do not see the fields you need, the Custom Fields need to be first created in your database (by the Main Organiser)
4. Copy and paste existing contact data into the Sample Template
5. Once done, save the file in Excel or CSV format
- You can save with any file name you want, no specific format is needed
6. Head back to the 'Import' popup, and drag and drop the file into the popup
- You may also select your overwriting options
7. Click 'Upload' and if there are no issues, click 'Confirm Upload'
What’s Next?
Check that all your contact data is uploaded correctly. To do so, click on 'View' or 'Edit' next to a contact's row and check if the data was uploaded into the correct fields.
